Step 1 of 9Rental counter
The rental counter quotes it once.
Northfield Groundworks call for two site dumpers and a mini excavator, Wednesday to the following Friday. The quote is built in four steps — customer, products, delivery, review — with each line priced on its own clock. Delivery is decided on the quote, so dispatch plans against it later instead of a sticky note on a monitor.

Accepted, and it becomes the order.
The site manager accepts the quote in the portal. It converts to order R-2417 with nothing re-typed: same customer, same lines, same dates, same delivery. The machines now show as booked for those dates on the availability calendar, which is what the next person quoting looks at.

Signed on a phone. Paid before it leaves the warehouse.
The rental agreement goes out for e-signature from the order. The site manager signs on their phone, and the time and device are kept with the signature so the record stands up later. Payment is taken by card in the same portal, through the business’s own Stripe account.

Step 4 of 9Warehouse
The warehouse picks it by scanning, not by memory.
At 6:30 the pick list is waiting in the warehouse queue. Each machine is scanned as it is loaded; serial numbers are matched to the order, and a wrong scan raises a mispick warning before anything reaches the truck. The office puts the delivery on the first run with a vehicle and a driver.

Proof of delivery lands on the order as it happens.
The driver sees today’s drops in order. On site, the signature and photos are captured in the Renttix Field app and land against R-2417 straight away — which is what settles a damage question three weeks later. The order goes Active and the machines show as out on site.

The job runs long. The rental stretches with it.
The groundworks are running late, so the site manager asks for four more days from the portal. The request arrives in the extension queue with their reason and the extra charge already worked out. Approving it moves the end date, and the availability calendar moves with it.

Step 7 of 9Driver
Off rent, picked up, checked back in.
When the work is done the site manager requests off-rent in the portal. The pickup is planned like the delivery, and the driver captures a signature and photos at the gate. Back at the branch the machines are checked in to the inspection queue rather than straight back onto the available list.

Step 8 of 9Workshop
One machine comes back damaged. It doesn’t quietly go back out.
Two machines pass inspection and go back to Ready. DM-1157 has a cracked dump cylinder: the warehouse raises a damage report against the asset and this order, the office approves it as chargeable, and a workshop job is opened. The dumper sits in quarantine, so the next person planning a delivery can see it isn’t available.

Fourteen days on rent including the extension, delivery and pickup, and the approved damage are all already on the record, so nobody retypes anything. The invoice goes out in the weekly run, syncs to QuickBooks, and is paid from the portal. The rental is complete.
