Renttix + Avalara Integration

Calculate tax on hire invoices through Avalara AvaTax, so rates follow the jurisdiction the equipment is actually being used in — with a preview before anything is committed.

Jurisdiction-accurate tax on hire, calculated by Avalara.
Renttix + Avalara Integration

How it connects

You supply your Avalara account ID and licence key, which Renttix uses for authentication. Both the sandbox and production AvaTax environments are supported, so you can prove the setup against sandbox before touching live filings. There is a connectivity test that pings Avalara so you learn the credentials are wrong immediately rather than mid-invoice. Tax is calculated by sending the transaction to AvaTax. Renttix distinguishes clearly between a preview and a commitment: a quote or draft is calculated as a sales order, which returns the tax without recording anything for filing, while an issued invoice is committed as a sales invoice. That separation is what stops draft paperwork polluting your returns.

Why it matters

Rental tax is harder than sales tax, and US sales tax is the clearest example. Rates depend on where the equipment is used rather than where your depot is, rules vary by state and often by county and city, and rental is frequently treated differently from sale. A business delivering across state lines cannot maintain that matrix by hand. Getting it wrong is expensive in both directions. Undercharging becomes a liability you discover at audit, long after you could have recovered it from the customer. Overcharging is a competitive disadvantage and an awkward conversation. Delegating the calculation to a tax engine that tracks jurisdictions professionally is the only approach that stays correct as you grow into new areas.

Key workflows

Jurisdiction-accurate calculation

Tax on hire invoices is calculated by AvaTax against the relevant jurisdiction, so cross-border and cross-state deliveries are rated correctly rather than defaulting to the depot's local rate.

Preview before commit

Quotes and drafts are calculated without recording anything for filing; only an issued invoice is committed as a taxable transaction. Draft paperwork never contaminates your returns.

Sandbox and connectivity testing

Both sandbox and production environments are supported, and a connectivity check confirms the credentials work before you rely on them for live invoicing.

Avalara is one of two tax engines Renttix connects to, alongside TaxJar, and sits on top of the tax zone, tax class and tax rule engine already in the platform. Calculated tax flows through to invoices, payments and every accounting export.

Avalara integration FAQ

No. Renttix calculates quotes and drafts as sales orders, which returns the tax figure without recording anything for filing. Only an issued invoice is committed as a sales invoice, so your returns reflect real invoices only.

Yes. Both the Avalara sandbox and production environments are supported, and a connectivity test confirms your account ID and licence key are valid before you depend on them.

Tax determination is performed by AvaTax using the transaction detail Renttix sends, including the jurisdiction the hire relates to. The rules themselves — including where rental is treated differently from sale — are maintained by Avalara rather than hard-coded in Renttix.
